A monthly breakfast and lunch menu was posted in each classroom. Seven NC Pre-K children's files were monitored and each contained a health assessment within 30 days, a DIAL screening within 90 days, and evidence of each child's on-going progress. The teachers use Creative Curriculum and Teaching Strategies, and activity plans were current and posted. Staff/child ratio of 1:10 or less is being maintained. The parents receive newsletters, receive updates online messaging through Ready Rosie, School Status and See Saw app, and they are able to volunteer throughout the school year. CONSULTATION AND RESOURCES: Rated License Assessment: You have chosen pathway one. The assessment request for the four NCPK classrooms has been submitted. I should receive your scores about two weeks after the assessment. I will contact you to schedule a visit to review the scores and complete the rated license packet. All lead teachers must complete the self-study review and use the forms on the NCRLAP website. I discussed this with each NCPK lead teachers today. Each stated they are in the process of completing their self-study. All self-studies should be turned in to you by mid-May so you can complete the verification form. All staff must be registered into the WORKS system and have all education submitted and evaluated for their positions. You can email me the staff assigned to each classroom, their birthdays, and years of experience. I will evaluate these and follow up with you to discuss the star level the education is at and any options for increasing stars if that is needed. Staff will use their NCID to login to WORKS on the DCDEE website ncchildcare.ncdhhs.nc.gov. They will click Provider tab, DCDEE WORKS, then login. If they are not registered, they will be prompted to do so. They must confirm their email within 48 hours to complete the registration, or they must contact technical support. Once registered, they will open the positions tab and click apply/upload. All positions the staff member wants education evaluated form must be checked. Then they will follow the directions to electronically submit their transcripts. They should check back into the system every few days to check for their status letter. I must have a works letter from all staff used for the rated license purposes. We reviewed the family and community engagement standards today. For five stars, you will choose four additional items from the three categories. We reviewed the facility and staff continuous quality improvement plans today. Items 1-4 should be completed at the time of the completion of the rated license. I will monitor for recorded progress on the goals during monitoring visits. If goals are completed staff should begin a new form with new goals. They will always be working on goals. Classroom Technical Assistance: All classrooms should add more child-led art to the walls. At the seven-point level, at least 50% of what is posted should be this type of artwork. Pictures of toys and the name of the toy should be placed on all shelves. Each room should have a cozy area separate from the book area. This area should have a lot of pillows for a level of softness. Each music area should have a radio/CD player with several different types of music for children to choose from to play. The daily schedule should reflect at least sixty minutes of free choice play in activity areas and at least thirty minutes of outside/gross motor play. If a child has an emergency medical action plan, all medications listed must be onsite. A copy of the action plan, permission to administer medication, and the medication administration log must be with the medication. It is best practice to attach a photo of the child. If an over-the-counter medication is listed, it must be in a locked box and kept with the prescription emergency medication. The parent may obtain a note from the doctor stating the over-the-counter medication is for emergency purposes. If this letter is received, the emergency medication does not have to be in a locked box. All expired medications must be returned to the parent or discarded. The inhaler for a child in room 302 expires April 30, 2026. We reviewed the ongoing training hours needed by assistant teachers and the due dates. Those dates are on the staff/training worksheets. Ms. White and I continued to correct NCID login issues for the ABCMS today. Ms. White spoke with staff from NCID today to try and correct the error messages she is receiving. All staff must be linked and on the roster once the provider portal is completed. Please contact me as soon as this process is complete. If a staff member has previously taken the health and safety trainings, has the certificates, and the trainings are not older than twelve months on date of hire, they do not have to retake them during the first year of employment. They will complete ongoing training as required. Documents and forms for DCDEE licensure can be found at https://ncchildcare.ncdhhs.gov/Provider/Provider-Documents-and-Forms.
